Portiva Tax · Live for advisory firms

Stop losing inbound tax clients to slow first response.

Portiva Tax qualifies new inquiries, collects the right information in the client's language, and delivers a structured case brief — so your consultants open a ready-to-work file, not an empty email thread.

Why tax firms change now

Tax intake is the bottleneck, not the advisory work.

Residency confusion, DTA complexity, and missing documents turn every new inquiry into a long back-and-forth before a consultant can even scope the case.

Without Portiva Tax

"Where am I tax resident?" — answered individually, every time
DTA, 183-day rule, treaty tie-breakers explained by senior staff
Expat clients waiting days because intake is only in German
Missing contracts, payslips, tax IDs spotted only mid-call
Deadlines quietly slip because urgency isn't captured up front

With Portiva Tax

Residency, income sources, and relocation timeline captured automatically
DTA-relevant facts pulled from the client in plain language
Intake runs in EN / DE / IT / FR / ES — brief arrives in your working language
Documents requested at intake, not discovered mid-consultation
Filing deadlines, urgency, and issue type flagged on every brief
Tax product proof

From a messy tax inquiry
to a structured case brief in minutes.

Same workflow you already know — a senior advisor's first triage — turned into a reliable, repeatable intake layer.

How Portiva Tax fits your practice

Four common firm shapes.
One intake layer.

Configured in days, not quarters. Pick the shape closest to yours — we'll tell you on the demo if Portiva is actually the right fit.

01 / GENERAL

General tax practice

Mixed German client base, occasional expat and cross-border cases that take disproportionate senior time.

  • Triage all inbound into one queue
  • Flag complex cases automatically
  • Pre-fill standard case types
02 / EXPAT-FOCUSED

Expat-focused firm

Most inbound comes in English, often with incomplete residency picture and tight filing deadlines.

  • EN intake, DE brief out
  • Residency + DTA pre-screened
  • Docs requested up front
03 / CROSS-BORDER

Cross-border specialist

Business-owner and high-complexity cases, often spanning DE/AT/CH and one non-DACH jurisdiction.

  • PE risk + structure captured
  • Route by case type to specialist
  • Source-country docs flagged
04 / MULTILINGUAL

Multilingual firm

Clients come in 4–5 languages; first response time varies by who's on shift that day.

  • Any EU language detected
  • Unified brief in one language
  • 24/7 first response

How Portiva Tax works

Three steps. Zero admin overhead.

01

Client starts the conversation

Hosted link, website widget, or Telegram. Portiva engages instantly in their language — IT, EN, DE, FR, ES. No forms, no phone tag, no German-only walls for expats.

02

Portiva asks the right tax questions

Residency, income sources, relocation timeline, employer structure — tuned to the case type. Documents requested at the point they become relevant, not at the end.

03

Your team receives a tax brief

Issue type, client facts, key unknowns, missing documents, urgency, recommended next step. Your consultant opens a ready-to-work case in your working language.

Low-risk start

Run a tax pilot.
Not a big rollout.

Try Portiva Tax on one intake flow, with one team, against success metrics you set. See the value on your actual pipeline — residency, DTA, expat filing, or whichever case type fills your inbox — before committing.

Tax FAQ

Common questions from tax firms.

Does Portiva give tax advice to my clients?
No. Portiva collects facts and structures a brief. It does not interpret the law, issue opinions, or replace the advisor. The consultant in your firm opens the brief and decides what to advise — Portiva only makes sure the brief is complete before that conversation starts.
How does this fit with Steuerberater Berufsordnung and client confidentiality?
Portiva is processor only. Data is stored in the EU, encrypted in transit, access-controlled per firm, and retention is configurable. We sign an AV-Vertrag (data processing agreement) before any pilot starts. Verschwiegenheitspflicht remains with your firm — Portiva never sees, trains on, or shares case data.
What languages does the intake handle?
EN and DE at launch, with IT, FR and ES added on request. The client converses in their language; the brief arrives in your firm's working language. Terminology is localised — Einkommensteuer, doppelte Haushaltsführung, beschränkte Steuerpflicht — not translated word-for-word.
Can I customise the intake to my practice?
Yes. Every intake flow is configurable — which case types you accept, which questions to ask, which documents to request, which cases route to which specialist. You start from a tax template, we tune it to your workflow during pilot onboarding.
How does this integrate with DATEV / my existing tools?
Pilot mode runs standalone — briefs land in the Portiva workspace, and your team works from there. Export to DATEV Unternehmen online and common mandant CRMs is on the roadmap for V1.2. For now, briefs are exportable as structured data + PDF.
How long until we're live?
A tax pilot is live within days. We configure one intake flow, set up your workspace, onboard your team with hands-on support, and point your public intake link — or embed the widget. No DATEV integration, no migration, no risk to existing mandates.
What happens to my current client intake during the pilot?
Nothing changes unless you want it to. A common pilot shape: point one channel (e.g. the "new client" link on your website, or a specific landing page) at Portiva, leave email and phone untouched, and compare first-response times and brief completeness after 14 days.
