Pricing & pilot terms · Updated 14 Apr 2026

Pricing that matches how advisory firms actually work.

No per-seat table, no overage surprises. Portiva is priced against the shape of your practice — team size, intake volume, and which verticals and languages you cover. Most firms start with a 14-day pilot before anyone signs an order form.

What pricing depends on

Three variables. No more.

We don't charge per seat or per case — either model punishes the workflows Portiva is supposed to help. Instead, price reflects the shape of your practice.

01 · Team

Who uses Portiva day-to-day.

Partners, advisors, and reviewers who work cases in the platform. Front-desk and support staff who only read summaries don't count — they get read-only access for free.

Up to 5
base

02 · Volume

Inbound inquiries per month.

What hits your intake funnel — form, email, referrals — not total firm workload. Unanswered inquiries still count; that's exactly the problem Portiva solves first.

50–200

03 · Scope

Verticals and languages covered.

Tax alone, tax + immigration, or a specialist mix. Languages the AI must handle at intake. More scope means more schema, more review templates, more cost — not always much more.

Pilot offer

Start with 14 days. Decide with evidence, not a deck.

The pilot is deliberately small so it can ship fast and so success is measurable. We agree on metrics up front, run your real inquiries through, and compare.

Pilot program · Q2 2026

One flow. One team. Two weeks. Success metrics agreed upfront.

We set up Portiva for a single intake surface — usually your website form or general tax inbox. Your team works real incoming cases alongside their normal process. At day 14 we compare, on pre-agreed metrics, whether it's worth continuing.

Pilot vs full deployment

Two different commitments, mapped side by side.

Most firms pilot first. Some skip straight to full — especially when an IT validator has already cleared security. Here's what each actually involves.

Dimension

Pilot

14 days, one flow.

Measure before you commit. Designed to ship in 7 working days.

Full deployment

Workspace for the firm.

All intake surfaces, all team roles, production SLA.

Scope
1 intake flow, 1 vertical, 1–2 languages.
All intake surfaces, all approved verticals, all firm languages.
Setup
Light-touch. 1 kick-off, 1 schema review, 1 security walkthrough. ~7 business days.
Structured onboarding: DPA, SSO, DATEV/DATEV-equivalent integration, training. ~2–3 weeks.
Data handling
Full production security posture. Pilot data migrates to your production workspace on conversion.
Firm workspace with RLS isolation, per-firm KMS key, audit log, SLA-bound incident response.
Success metrics
Agreed upfront, reviewed at day 14: first-response time, intake completeness, minutes per case.
Same metrics reviewed quarterly. Firm-specific KPIs added (conversion rate, DTA-case throughput, etc.).
Commitment
Monthly. Exit at day 14 with data export if metrics aren't met. No auto-renewal during pilot.
12 months standard. Opt-out at 6 months if first-response SLA is missed two quarters in a row.
Price
Flat pilot fee. Credited in full if you convert within 30 days.

Indicative ranges

Where firms like yours typically land.

We publish ranges, not rate cards. Every number below is the real interval our current pilots and discovery calls have converged on — your exact figure is set on the call.

Why a range, not a price. Portiva is a new product and we're still learning where value lands for different practice shapes. We'd rather be transparent about uncertainty than publish a rate card we have to rewrite every quarter. On the call, we tell you the exact number, how we got there, and what changes it.

Included at every tier

No feature gates. No gotchas.

We don't paywall security, audit, or EU hosting. The platform is built as one product — the only things that vary between firms are scope, team size and volume.

Unlimited cases

Inquiries, briefs, transcripts. No per-case metering, no hidden overage.

EU hosting

Frankfurt primary, Dublin DR. No US data transfer for client content.

DPA / AV-Vertrag

German-language template, editable clauses, signed before day one.

SSO & MFA

Google, Microsoft, generic OIDC. SAML on Enterprise. Mandatory MFA for admins.

Per-firm audit log

Actor, action, resource, timestamp. Immutable, exportable.

Reviewer workflow

Human-review queue, comment threads, advisor-signed briefs. Always on.

Pilot timeline

From first call to measurable result, in three weeks.

Pilots kick off on the Monday after the discovery call. We aim for a decision call on the Friday of week three — not later.

Week 0 · setup
Kick off & configuration
  • Discovery call, metrics agreed in writing
  • DPA signed, SSO connected, schema scoped
  • Intake surface wired — usually 1 day of engineering
  • Security walkthrough with your IT / DPO
Weeks 1–2 · live
Real cases, real measurements
  • Your team works Portiva alongside current process
  • Weekly check-in, no sales pressure
  • Metrics dashboard updates daily
  • Adjustments to schema and follow-up prompts in-flight
End of week 2 · decision
Decision on the evidence
  • Metrics review: baseline vs pilot
  • Continue on a full deployment — pilot fee credited
  • Or stop, with full data export within 5 days
  • Either way, we ask for one page of feedback
Pricing questions firms ask

The six we hear most.

If yours isn't here, the discovery call is a good place to ask — or email hello@portiva.eu.

Why isn't there a public price per seat or per case?
Per-seat pricing penalises firms that want reviewers and partners looking over AI work — exactly the workflow we're trying to encourage. Per-case penalises high-volume intake, which is the problem Portiva solves first. Both models push customers toward the wrong behaviour. Our pricing is keyed to practice shape so the incentives match the product.
What happens at the end of the pilot?
Two outcomes. (1) You convert to a full deployment: your pilot workspace becomes your production workspace, pilot fee credited to month one, no re-implementation. (2) You stop: full data export within 5 days, hard delete within 30 days, signed deletion receipt. No auto-renewal traps.
Can we cancel a full deployment if Portiva isn't working out?
Yes. Full deployments carry a 12-month term, but there's a SLA-tied exit: if Portiva misses its first-response-time SLA in two consecutive quarters, you can exit at the 6-month mark with 30 days' notice. We'd rather give you the exit than hold onto an unhappy firm.
Are prices in EUR net, or including VAT?
All figures on this page are EUR, net, before VAT. We invoice from Germany; intra-EU firms get a reverse-charge invoice on provision of a valid VAT-ID. Payment terms are 14 days, SEPA or bank transfer. Yearly billing gets a discount, negotiated on the call.
We're a group of firms / multi-entity practice. Is there a discount?
Yes. Each entity gets its own firm workspace (isolation is non-negotiable), but they share a billing agreement. Volume across entities rolls up. Typical discount: 10–20% vs the per-entity list, depending on shared verticals and languages.
Do you offer non-profit or pro-bono pricing for legal-aid practices?
Yes, for registered non-profits and legal-aid practices serving refugees, migrants or low-income individuals. Typically 60–80% off list, case-by-case. Write to hello@portiva.eu with a short description of the practice and we'll come back within two business days.
Discuss pricing

30 minutes on your practice. An exact number on the call.

We use the first 10 minutes to understand the shape of your intake. By minute 20 you have a firm price and pilot terms. By minute 30, either a signed pilot agreement or a clear no. Your time either way.
